Consult your help file for any issues related to your specific email client or contact a local general-IT professional. Note: Outlook 2024 (new) no longer supports exporting to a file.
To back up emails to a new Microsoft Outlook PST file:
- Open Microsoft Outlook
- Click File from the menu bar and select Open & Export
- Click Import/Export
- Select Export to a file, then click Next
- Select Outlook Data File (.pst), then click Next
- Select the mail folder you want to back up and tick the box Include subfolders, then click Next
- Click Browse… to choose where to save your backup on your device and name the file
- You can create a password to lock this file or click OK without creating a password to skip it
- Click Finish
To import a backed-up file into Microsoft Outlook:
- Open Microsoft Outlook
- Click File from the menu bar and select Open & Export
- Click Import/Export
- Select Import from another program or file, then click Next
- Select Outlook Data File (.pst), and then click Next
- Click Browse… to locate and select the backup .pst file, then click Next
- If you created a password on this file, enter the password and click OK
- Select the root folder (e.g. Mailbox - MyName) and select the Include subfolders checkbox
- Click Finish
